As someone who has spent years in the HR world, I’ve seen onboarding evolve dramatically. And let me tell you, virtual onboarding has been a game-changer.

Why I love Virtual Onboarding

Gone are the days of endless paperwork and stiff conference room orientations. Today, technology lets us transform what used to feel like a chore into something efficient, warm, and genuinely engaging for new hires.

I’m all about getting the paperwork out of the way quickly. So, we can shift the focus to what really matters: helping new employees dive into their roles and connect with the company. Virtual onboarding has made this process faster and more accurate, freeing up time for both the HR team and the new hire to focus on meaningful connections.

Virtual Onboarding For Remote Teams

When it comes to fully remote teams, I’ve learned that personal touches make all the difference. One of my favorite strategies? Sending a goodie box to new hires before their first day. Think company swag, snacks (yes, you can customize based on preferences—most HRIS platforms allow for this!), basic office supplies, and maybe even a leadership book that reflects your company’s culture. Don’t forget a heartfelt welcome note!

I’ve also made it a rule to ship tech hardware well in advance, so new hires aren’t scrambling on day one. A few days before they start, I send an email with everything they’ll need: their schedule, dress code (even virtual workplaces have expectations!), a reminder of their main point of contact, and time for breaks and downtime. It’s a small step, but it really helps the process feel personal rather than sterile.

Once onboarding begins, I can’t stress enough the importance of using cameras and creating regular touchpoints. Those first 90 days are crucial for building confidence and connection, and a consistent cadence of check-ins ensures your new hire feels supported every step of the way.

Virtual Onboarding For In-Person Teams

For hybrid or in-person companies, the basics still apply, but there are a few extras to keep in mind. I always include details like parking, dress code, and nearby lunch options in the final pre-start email. On day one, I like to set up the new hire’s desk or office with a little welcome package—custom snacks, office supplies, and a handwritten note. Bonus points if you can arrange an invite to lunch!

Even in person, scheduling regular one-on-ones and trainings is a must. It’s easy to assume these touch-points will happen organically, but trust me, they can fall through the cracks if you’re not intentional about them.

Ultimately, onboarding—whether virtual or in person—is all about creating a memorable, welcoming experience. When your new hires feel valued from day one, they’re not just employees; they’re part of the team. And isn’t that what we’re all aiming for?
